PAYMENT & CANCELLATION POLICY

By requesting a quotation, accepting a booking, or making a payment, the Guest/Client agrees to the following binding terms:

 

1. RESERVATIONS & DEPOSITS

  • Standard Bookings: A 50% deposit is required within 48 hours to secure a provisional booking.
  • Last-Minute Bookings (Arrival < 48h): The provisional hold is strictly 1 hour.
  • Proof of Payment: POP must be emailed to ensure the booking is not automatically cancelled.
  • CLEARED FUNDS RULE: Keys will not be released until funds reflect in our FNB account. Non-FNB Guests/Clients must use "Immediate Payment" for last-minute arrivals.
  • Late Reflection Policy: Should EFT funds not reflect at check-in, the Guest/Client must settle the balance via Visa, Mastercard, or Cash on-site. Once the original EFT reflects, it will be refunded minus a 10% admin fee of the amount paid.

2. CORPORATE BOOKINGS (PO & Vouchers)

  • Provisional Hold: A Company PO or Voucher is accepted to hold a room provisionally.
  • Pre-payment Required: All vouchers and POs are strictly subject to pre-payment before arrival.
  • Payment Deadline (1–7 Days before): Full payment is strictly due within 24 hours of the PO/Voucher being issued.
  • Same-Day Bookings: Full payment must reflect (or "Immediate Payment" POP provided) before the guest checks in.
  • AUTOMATIC CANCELLATION: Failure to meet deadlines results in the immediate, automatic release of the room. No further notification will be issued.

3. LATE DEPOSITS

  • No Guarantee: Payments received after the stipulated deadline do not guarantee a reservation.
  • Refunds: If the room is re-let, a refund will be issued subject to a 10% admin fee of the amount paid.
  • Procedure: Valid banking details must be provided in writing. Refunds take 7–14 business days.

4. CANCELLATIONS & REFUNDS

  • 7+ Days Notice: Refundable, subject to a 15% admin fee of the Total Booking Value.
  • UNDER 7 DAYS / NO-SHOW: Strictly 100% non-refundable by default.
  • The Resell Exception: If the room is resold for the full duration, we may, at our discretion, offer a refund (minus 15% admin fee of the Total Booking Value) or a 3-month credit note.

5. LONG-STAY DISCOUNTS & SHORTENED STAYS

  • Discount Tiers: (Consecutive nights only) 7+ Nights: 10% | 14+ Nights: 15% | 30+ Nights: 20%.
  • Recalculation Clause: Discounts are subject to completing the full stay. If shortened, the discount is forfeited.
  • 24-Hour Notice Period: Notice of early departure must be provided in writing before 10:00 AM. Notice received after 10:00 AM results in the following night being charged as the mandatory notice period.
  • Refund Calculation: Nights stayed (plus notice period) charged at Standard Nightly Rate. Remaining balance refunded minus 15% admin fee of the Total Booking Value.
  • Housekeeping: Daily housekeeping provided. Linen is changed every 7 days.

6. ARRIVAL & DEPARTURE

  • Check-In Window: 14:00 – 20:00 (Sundays & Public Holidays until 18:00).
  • No-Show Policy: Guests not arrived by the end of the window without prior arrangement forfeit the stay and all payments.
  • Late Self-Check-In: Available until 22:00 strictly via lockbox, by arrangement made before the window closes.
  • AFTER-HOURS SUPPORT: No calls will be taken and no assistance provided after 22:00. Access will be unavailable until 07:00 the next morning.
  • Balance of Payment: Strictly due on or before arrival. Keys/Codes are only released once the full value reflects.
  • Check-Out: Strictly by 10:00 AM.
